  • Identity Data: Includes first name, last name, username or similar identifier (for Trade accounts), and title.

  • Contact Data: Includes billing address, delivery address, email address, and telephone numbers.

  • Business Data (Trade Partners): Includes Company Name, VAT Registration Number, and proof of trade status supplied during the account application process.

  • Financial Data: Includes bank account and payment card details (processed securely via third-party payment providers).

  • Transaction Data: Includes details about payments to and from you and other details of products and services you have purchased from us.

  • Profile Data: Includes your username and password (encrypted) for the Trade Portal, your purchases/orders made, and your quote history.

  • Technical Data: Includes internet protocol (IP) address, your login data, browser type and version, time zone setting and location, and operating system used to access our website.

3. How Is Your Personal Data Collected?

We use different methods to collect data from and about you including:

  • Direct Interactions: You may give us your Identity, Contact, and Financial Data by filling in forms or by corresponding with us by post, phone, email or otherwise. This includes personal data you provide when you:

    • Apply for a Trade Account on our website;

    • Request a Quote (via our online forms);

    • Subscribe to our regulatory updates (DublinSigns.ie);

    • Give us feedback.

  • Automated Technologies: As you interact with our website, we may automatically collect Technical Data about your equipment, browsing actions, and patterns. We collect this personal data by using cookies and similar technologies.

4. How We Use Your Personal Data

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  • Performance of Contract: Where we need to perform the contract we are about to enter into or have entered into with you (e.g., fulfilling a Quote, manufacturing your Order, or processing a Trade Account application).

  • Legal Obligation: Where we need to comply with a legal or regulatory obligation (e.g., keeping VAT records for Revenue).

4.1. Purposes for which we will use your personal data We have set out below a description of the ways we plan to use your personal data, and which of the legal bases we rely on to do so.

  • To register you as a New Customer or Trade Partner:

  • To process and deliver your Order:

    • Type of Data: Identity, Contact, Financial, Transaction Data.

    • Legal Basis: Performance of a Contract.

  • To manage our relationship with you:

    • Type of Data: Identity, Contact, Profile Data.

    • Purpose: Notifying you about changes to our terms or privacy policy, or asking for a review.

    • Legal Basis: Performance of a Contract; Necessary for our legitimate interests.

  • To verify Trade Status (Gatekeeping):

    • Type of Data: Business Data, VAT Number.

    • Purpose: Ensuring access to the Trade Portal is restricted to genuine industry professionals.

    • Legal Basis: Necessary for our legitimate interests (to protect commercial pricing confidentiality).

  • To administer and protect our business and website:

    • Type of Data: Identity, Contact, Technical Data.

    • Purpose: Troubleshooting, data analysis, testing, system maintenance, and hosting.

    • Legal Basis: Necessary for our legitimate interests (for running our business, provision of administration and IT services, network security).

  • Premises Security (CCTV):

    • Type of Data: Image Data (Video footage).

    • Purpose: To ensure the safety of our staff, visitors, and property at Unit 220 Holly Road.

    • Legal Basis: Necessary for our legitimate interests (prevention and detection of crime).

5. Disclosures of Your Personal Data

We may have to share your personal data with the parties set out below for the purposes set out in Section 4.

5.1. External Third Parties

  • Payment Processors: We use Stripe (integrated via Zoho Books) for online payments and Revolut Business for physical terminal payments. We do not store your full credit/debit card details on our own servers; this data is securely transmitted directly to these providers for processing.

  • Service Providers: Companies who provide IT and system administration services, including Zoho (CRM and Accounting) and Wix (Website Hosting).

  • Logistics Partners: Couriers and freight companies (e.g., DPD, An Post, Pallet Network) for the purpose of delivering your Goods.

  • Professional Advisers: Lawyers, bankers, auditors, and insurers who provide consultancy, banking, legal, insurance, and accounting services.

  • Revenue Commissioners: Tax authorities in Ireland who require reporting of processing activities in certain circumstances.

5.2. CCTV Disclosure CCTV footage is recorded strictly for security purposes. It is stored securely and is accessible only by authorised senior management. Footage is typically overwritten after 30 days unless required for an ongoing investigation. We may share footage with An Garda Síochána if required for the prevention or detection of a crime.


6. Data Security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorised way, altered, or disclosed.

  • Digital Security: Our website and Trade Portal use SSL encryption. Access to your personal data is limited to those employees, agents, contractors, and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

  • Physical Security: Our premises at Unit 220 Holly Road are secured by alarm systems and CCTV. Physical files (e.g., printed invoices) are stored in secure areas.

  • Breach Protocol: We have put in place procedures to deal with any suspected personal data breach and will notify you and the Data Protection Commission (DPC) of a breach where we are legally required to do so.

7. Data Retention

7.1. How long will you use my personal data for? We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

  • Trade Account Data: We retain your account details for as long as your account remains active. If you request to close your account, we will deactivate it immediately.

  • Transaction Data (Tax & Revenue): By law, we have to keep basic information about our customers (including Contact, Identity, Financial, and Transaction Data) for six years after they cease being customers for tax purposes (Revenue Commissioners requirements).

  • CCTV Footage: Retained for 30 days on a rolling loop, unless required for an incident investigation.

8. Your Legal Rights

Under certain circumstances, you have rights under data protection laws in relation to your personal data. You have the right to:

  • Request access to your personal data (commonly known as a "data subject access request"). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.

  • Request correction of the personal data that we hold about you.

  • Request erasure of your personal data. Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons (e.g., holding invoice data for tax purposes), which will be notified to you, if applicable, at the time of your request.

  • Object to processing of your personal data where we are relying on a legitimate interest (or those of a third party).

  • Request restriction of processing of your personal data.

  • Request the transfer of your personal data to you or to a third party.

  • Withdraw consent at any time where we are relying on consent to process your personal data.

  • No Fee Usually Required: You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive, or excessive.

  • Time Limit to Respond: We try to respond to all legitimate requests within one month.

9. Third-Party Links (DublinSigns.ie)

Our website (and specifically the DublinSigns.ie resource hub) may include links to third-party websites (e.g., Dublin City Council, An Bord Pleanála), plug-ins, and applications.
